Welcome to Dealer Funnel. The following pages contain the policies and procedures that apply to all employees. Labor relations law requires that we maintain a written policy and apply it without discrimination to everyone on the team. If you have questions or need help reviewing this document, talk to your immediate supervisor.

This handbook is intended only to outline Dealer Funnel's employment policies and procedures — it should not be considered an employment contract. Dealer Funnel reserves the right to change these policies at any time, and any such changes become part of this manual once issued.

Open Door Policy
We want a work environment free from anything that would keep you from doing your best work. Management maintains an open-door policy to discuss any issue, work-related or personal — we welcome your input. If you ever feel you've been discriminated against, you're encouraged to raise it through this same process.
If a mutually agreed resolution isn't reached at any step, the employee may ask to move to the next step in the process.
Code of Conduct
Employees are expected to conduct themselves in a responsible, professional, and ethical manner. Report unethical or dishonest behavior to your immediate supervisor — reported activity will be investigated by management, who will determine the appropriate resolution. Employees found acting unethically may be subject to disciplinary action, up to and including termination.
04Employment & Conduct
Equal Opportunity Employment
Hiring decisions are based solely on Dealer Funnel's personnel requirements and each candidate's qualifications. We do not tolerate discrimination based on age, race, color, religion, sex, national origin, or disability — in hiring, in termination, or anywhere in between — and we comply with all applicable local, state, and federal employment law.
Eligibility for Employment
Federal law requires new employees and re-hires to provide documentation of identity and eligibility to work in the United States. A properly completed Form I-9 is required for employment, along with a picture ID and Social Security card.
Criminal Convictions
Dealer Funnel takes criminal convictions seriously and reserves the right to disqualify any applicant convicted of a criminal offense. A conviction may also result in termination; we make every effort to evaluate the nature and circumstances of the conviction, but with co-workers' safety and wellbeing at stake, disciplinary action up to and including termination may follow.
Threats of violence and acts of violence are strictly prohibited. Employees who threaten or commit acts of violence are subject to disciplinary action up to and including termination. Report any such activity to your immediate supervisor.
A weapon is generally a gun, knife, or other object universally recognized as a weapon — and Dealer Funnel may deem any object capable of doing harm a "weapon" for purposes of enforcing this policy. Certain job functions may require possession of an approved, properly licensed and registered weapon, only at Dealer Funnel's direction. Outside of that, possession of weapons on company property or while on duty is prohibited and subject to disciplinary action, up to and including termination. Report any weapon possession to your immediate supervisor.
Alcohol, Drugs & Illegal Substance Abuse
Possession or use of alcohol, illegal drugs, or other illegal substances is prohibited on company property or while on duty. Employees who fail to adhere to this policy are subject to disciplinary action, up to and including termination. Report any suspicious activity to your immediate supervisor.
Sexual & Other Unlawful Harassment
Dealer Funnel is committed to a working environment free from discrimination and sexual harassment. Per the EEOC's definition, unwelcome sexual advances, requests for sexual favors, and other verbal or physical conduct of a sexual nature constitute harassment when:
- Submission to the conduct is made — explicitly or implicitly — a term or condition of employment
- Submission to or rejection of the conduct is used as the basis for an employment decision affecting that individual
- The conduct has the purpose or effect of unreasonably interfering with someone's work performance, or creates an intimidating, hostile, or offensive working environment
If you or a co-worker experience what you believe is sexual harassment — or an accusation of it — report it promptly to your immediate supervisor. Dealer Funnel investigates every report regardless of job position, and takes appropriate action on a need-to-know basis. Disciplinary action up to and including termination follows any harassment charge found to be valid.
Domestic Violence Statement
Dealer Funnel recognizes that domestic violence can affect an employee's job performance — and that of their co-workers. We provide up to three days' leave for activities connected with domestic violence, available to employees with three or more months of service. Accrued PTO must be used first, where available; unpaid time off is given otherwise. Contact your immediate supervisor with questions.
Introductory Period of Employment
All employees serve an introductory period for the first three months of employment, during which your department manager evaluates your performance, aptitude, and fit with co-workers. You may be invited to continue employment at the end of this period — if your evaluation indicates you don't yet meet expectations, your employment will be terminated.
Personnel File
Dealer Funnel maintains a confidential personnel file for every employee. These files are company property — no documents may be altered or removed by the employee. Access is limited to staff who need it to perform their jobs, and copies are not released to third parties unless required by a court of law. Employment verification requests are answered only with dates of employment and positions held.
Drug-Free Workplace Policy
To keep our workplace safe for clients and employees alike, Dealer Funnel explicitly prohibits:
- Use, possession, solicitation for, or sale of narcotics, other illegal drugs, alcohol, or unprescribed medication on company or customer premises, or while performing an assignment
- Being impaired by legal or illegal drugs or alcohol away from company premises, where that impairment affects work performance, safety, or the company's reputation
- Possession, use, solicitation, or sale of drugs or alcohol away from company premises under the same conditions
- Any detectable amount of a prohibited substance in an employee's system while at work, on company or customer premises, or on company business
Dealer Funnel reserves the right to test for drugs and alcohol under the following circumstances:
- Pre-Employment Testing
- Applicants invited to join the team may be required to test before starting
- Random Testing
- Employees may be selected at random, at any interval the company determines
- For-Cause Testing
- Requested any time there's reason to believe an employee may be under the influence — including evidence of drugs or alcohol nearby, or unusual conduct, excessive or unexplained absenteeism, or tardiness
- Post-Accident Testing
- Required of anyone involved in an on-the-job accident or injury where drug or alcohol use may have contributed — including anyone who potentially contributed to the event, not only the person injured
Employees with substance abuse issues are encouraged to seek help through a rehabilitation program before any disciplinary action is taken. A positive random test may be followed by an opportunity to meet expectations and re-test; choosing not to pursue rehabilitation or meet expectations leads to disciplinary action, up to and including termination. You'll receive a copy of this policy, and it's also available from your immediate supervisor.
05Policies & Procedures
Attendance
Punctual attendance is mandatory for efficient job performance. If you'll be absent for any reason, call your department manager at least one hour before your shift. If they don't answer, leave a message and email them and the rest of your department to let them know you won't be in. Failing to do so may result in disciplinary action, up to and including termination.
Punctuality
We understand traffic and the unexpected happen — Dealer Funnel offers a 15-minute grace period as a buffer, though it shouldn't become your regular arrival time. If you'll be more than 15 minutes late, call your department manager; if they don't answer, leave a message and send an email.
Two verbal warnings are given for lateness. A third occurrence results in a written warning, and a further occurrence after that triggers a performance review with your department manager.
Work Schedule Requirements
Workload varies with customer demand, and meeting critical deadlines sometimes comes with little notice — you may be required to work overtime, whether pre-planned or spontaneous.
Staff Meetings
Department and company-wide meetings are scheduled from time to time, with notice distributed in advance where possible. All employees are required to attend when requested, even outside scheduled hours, and are paid for the time required to attend.
Digital Time Clock
Hourly employees clock in and out daily. Vacation, paid leave, or holiday hours must be submitted to your immediate supervisor; any time not documented in Gusto must be signed, timed, and dated by your supervisor before final approval — which can affect how quickly your check is prepared. It's each employee's responsibility to clock in and out for every shift.
Lunch Break
Hourly employees take a lunch break regardless of shift — typically a half hour or a full hour depending on schedule. Your immediate supervisor sets your specific lunch schedule, which may vary by employee and department.
Workplace Dress Code
Dress comfortably while keeping a professional appearance. If you interface with clients, dress accordingly — be considerate of the company's image as well as your own with customers and co-workers. Clothing may not display illicit drug references, sexual content, or other unprofessional material.
Medical Attention
Notify a supervisor any time medical attention is needed, whether from an accident or illness. Transportation to a medical facility must be provided by trained medical personnel; transportation and medical costs are the employee's responsibility.
06Compensation
Compensation is based on performance and is established by mutual agreement between employee and company. Raises are based on performance, growth, and productivity — all requests for a raise or promotion are fairly considered by management. Employment is on an as-needed basis; employees are not guaranteed tenure or retirement benefits.
Overtime
Hours worked by hourly employees beyond 40 in any seven-day period are paid at 150% of regular hourly pay (time and a half). All overtime must be approved in advance by your immediate supervisor to qualify. Only hours actually worked count toward the overtime calculation.
Commissioned Sales
Sales personnel compensated on commission own the entire sales process — all client communication for the life of the project, including collection of related invoices. Commissions may be paid as an advance, but aren't fully earned until all invoices are paid in full. Rates are negotiated based on the terms of the sale and bid accuracy, and the commission structure may be adjusted by management when needed.
Wage & Salary Disclosure
Compensation is confidential between the employee and Dealer Funnel. Disclosing wages or compensation to a third party or another employee is prohibited and could be grounds for termination.
Payroll Schedule
Employees are paid every two weeks. The workweek runs Saturday through Friday, and payday is every other Friday; if payday falls on a holiday, checks are distributed before the holiday.
Your Paycheck
Payroll checks and direct deposits are distributed on payday as set out above. Federal, state, and other required taxes are withheld from wages, along with any voluntary deductions.
Payroll Deductions
As required by law, Dealer Funnel withholds federal and state tax, Social Security (FICA), and Medicare from earnings, and participates in matching programs as required.
Working Away From the Office
Working in SaaS opens the door to new ways of working. While we prefer everyone in the office daily, we understand some roles are remote and others require travel — there may be specific circumstances where working away from the office benefits both the employee and Dealer Funnel.
Performance Evaluation Reviews
Evaluations give you formal feedback on your strengths and areas for improvement. In your first year, you'll receive a review after the 90-day introductory period; after that, reviews happen annually around your employment anniversary. Each review is a chance to share thoughts, ask questions, or raise concerns — receive the feedback with openness; it's a gift.
A positive evaluation doesn't automatically mean a pay increase. Raises are based on merit, job performance, and Dealer Funnel's budget — not length of service or cost of living.
Reimbursement of Expenses
Expenses must be approved before you spend the money. To be reimbursed, give your immediate supervisor a check request form, receipts for all expenses, and documentation for per diem or mileage. We'll make every effort to reimburse you promptly.
Company Credit Cards
Cards may be assigned at your department manager's discretion. Cardholders are responsible for tracking all transactions through Concur and submitting expense reports by the 5th of the following month — missing this can affect your pay. Incomplete reports or missing receipts may result in those amounts being deducted from your pay, and continued issues may result in losing the card.
Reporting Personal Information Changes
Notify management whenever your personal information changes — address, phone number, tax withholding, or emergency contacts.
Gifts, Entertainment & Meals
Employees and their families may not give or receive business gifts, favors, meals, or entertainment worth over $100 to or from customers or suppliers, except as approved by management.
Visitors
Given the security clearances and NDAs tied to our client relationships, visitors not on company business are restricted to the lobby. Business visitors need authorization from your immediate supervisor to go beyond the lobby — if you notice an unauthorized visitor, escort them or direct them to a manager right away.
Personal Property
Dealer Funnel isn't responsible for personal property in its facilities, vehicles, or parking areas. Items deemed inappropriate may be removed without notice — be considerate of the company's image and your own.
Personal Safety
Employee safety is a top priority. Share suggestions or concerns with your immediate supervisor — and if you feel unsafe performing your job, stop working and report the hazard right away.
Smoking
Smoking is not allowed in Dealer Funnel facilities, on company grounds, or in vehicles parked on company grounds.
07Property & Security
Confidential Information
Confidential information includes — but isn't limited to — personnel information, pricing, client lists, contractual agreements, intellectual property, and marketing or sales strategy. You may not disclose this information to third parties during or after employment without express written approval, and you may be required to sign a non-compete as a condition of employment.
Facilities Security
Every employee shares responsibility for keeping facilities and work areas secure. If you're entrusted with keys and you're the last to leave, make sure the facility is secure — lights off, doors and windows closed and locked. Report any potential security risk to your immediate supervisor.
Office Supplies, Postage & Company Accounts
Postage systems, shipping accounts, and vendor accounts are for company business only. Improper use may result in disciplinary action, up to and including termination.
Company Vehicles
Company vehicles are strictly for business use and travel to and from business locations — personal use is prohibited and may result in disciplinary action, up to and including termination.
Company Equipment
Printers, copiers, computers, and other company equipment are for Dealer Funnel business only. Your desk and cabinets may not be locked with a personal lock — see your supervisor if you need help securing company property.
Phone Systems, Voicemail & Personal Calls
Phone systems are in place for business purposes — limit personal use, and make personal calls during breaks. Personal cell phone use during working hours should be limited to emergencies; otherwise, keep it to breaks and lunch.
08Computers, Internet & Email
Computers & Related Equipment
Company computers and equipment are for business activities only and must be kept in good working order — notify your supervisor if anything needs service or repair. Games and personal software may not be installed, and company equipment may not be used to create or store personal files or projects, or to store or display violent, sexually explicit, or racially offensive material. All software must be properly licensed and installed by the computer systems supervisor, and downloads of any kind require their express permission.
Internet
Company internet access is for business purposes only — using it for personal reasons, or letting any third party use company computers or internet access, is prohibited.
Don't expect privacy on company systems. Our software can track every visit, email, chat, and file transfer on every computer on the network, and Dealer Funnel will comply with reasonable law enforcement requests to review activity. Employees may not attempt to disable or circumvent any security measure under any circumstances.
Be mindful that you represent Dealer Funnel to the world while online, and maintain a high level of dignity in how you engage.
Email & Electronic Communication
Company email is for business purposes — keep personal use to an absolute minimum. Every email sent or received is a company record and accessible to appropriate staff. No anonymous email may be sent from company systems; everyone identifies themselves by name and email address. Chat room participation is prohibited except in approved, business-related forums.
09Leave of Absence
Paid and unpaid leave are benefits of working at Dealer Funnel. To qualify, you must be a full-time employee (regularly scheduled for 40 hours a week) with at least 90 days of continuous employment. Dealer Funnel reserves the right to revise these policies at any time, without notice.
Personal Leave of Absence
Request unpaid personal leave through your immediate supervisor. Approval is at Dealer Funnel's discretion based on a number of factors; when granted, the maximum is 30 days per calendar year.
Sick Leave
Sick days are considered case by case, and excessive absenteeism isn't accepted. Notify your supervisor in advance for scheduled medical procedures or appointments — and as early as reasonably possible if you're unexpectedly sick or need to leave early.
Short-Term Disability Leave
If you're sick and not coming in, call your immediate supervisor at least one hour before your reporting time. Dealer Funnel may verify your inability to work through a medical consultation it selects, and your supervisor will follow up if three or more workdays are missed.
Unpaid Family & Medical Leave
Employees are eligible for unpaid leave under the Family and Medical Leave Act of 1993. Notify your immediate supervisor if you plan to take it.
Funeral Leave
Dealer Funnel provides reasonable time off to attend funerals. For a death in the immediate family (parent, step-parent, grandparent, sibling, or child), up to three days' paid time off is available for family and funeral matters, with additional unpaid time available as needed.
Jury Duty
Notify your immediate supervisor if you're summoned. Up to three days of jury duty are paid at your regular daily rate; using PTO beyond that is optional, not mandatory, if you want to continue being paid. Proof of the trial dates is required when you return to work.
Military Duty
Dealer Funnel provides military leave-of-absence and reinstatement as required by law, including up to two weeks of paid military leave for eligible employees.
Severe Weather Closings
If the company closes due to severe weather or an emergency, we'll make every reasonable effort to notify you. If conditions make it unsafe to travel to work, contact your immediate supervisor.
Worker's Compensation
Eligibility is governed by state and federal law; Dealer Funnel pays all premium costs, and claims are paid directly to employees. Report job-related injuries immediately — failing to do so may complicate a claim. Drug testing is required for any work-related injury, and employees return to work immediately upon a physician's release, with light duty assigned where applicable.
10Holidays
To be eligible for holiday pay, you must be full-time for at least 30 days prior to the holiday and work your scheduled day before and after it, unless you've made prior arrangements with your supervisor. Holidays falling on a Sunday are observed the following Monday; those falling on a Saturday are observed the preceding Friday. A maximum of 7 paid holidays apply to any employee per year.

Employees wishing to observe a national-origin or religious holiday not listed above need their department manager's permission for time off.
11PTO & Maternity Leave
Paid Time Off
Full-time employees become eligible for PTO after 60 days of continuous employment, usable for vacation, sick time, or personal leave. You're required to use eligible PTO any time you're out for sick leave, family/medical leave, or other personal reasons.

Unused hours from the prior year are forfeited, and your balance resets to the amount you're eligible for based on length of service. Your department manager may adjust this for special circumstances. Any unused PTO is forfeited if employment ends for any reason.
Submit PTO requests at least 30 days in advance for approval; requests are granted by seniority, with your department manager weighing unique situations at their discretion. Additional unpaid time off may be considered with written manager approval, depending on workload. Paid company holidays that fall during your vacation don't count against your accrued PTO.
Maternity Leave
Dealer Funnel provides six weeks of maternity leave — four weeks paid and two weeks unpaid. In the event of a caesarean section, an additional two weeks of unpaid recovery time is granted. To qualify, a full-time employee must have completed one full year of continuous employment; management may adjust this policy for special circumstances.
12Discipline Policies
Problem Resolution
Most problems are solved through communication. Here's the recommended path for a dispute between employees:

Talk it through directly
The two employees discuss the issue between themselves and make every effort to resolve it.

Bring in a supervisor
If there's no resolution, both employees approach a supervisor together and let them help mediate.

Escalate to the department manager
If it's still unresolved, it goes to the department manager, who gathers and reviews all the information and proposes a solution in the best interest of everyone involved.
When a supervisor is a party to the original dispute, it goes straight to the department manager from the outset.
Violation of Company Policy
Employees found in violation of company policy will have every reasonable attempt made to resolve the issue constructively. If a violation continues, disciplinary action — up to and including termination — may follow.
13Termination of Employment
Employment at Dealer Funnel isn't tenured — employees may choose to leave at any time, and Dealer Funnel may end employment at any time, for any reason.
If you resign
Return all company property to your immediate supervisor before leaving the premises on your final day. Once all company-owned property is received, you'll get your final paycheck, including any earned vacation pay, if applicable.
If employment is ended by the company
A severe policy violation may mean being escorted from the premises immediately. Personal property and your final paycheck — including any earned vacation pay, if applicable — are provided once all company-owned property has been returned.
